    Admission Assistant

    The Buckley School, Los Angeles’ oldest K-12 all-gender learning institution, has an opening for an Admission Assistant. This position supports all aspects of the admissions process from recruitment through enrollment, performing a wide range of administrative tasks, and assisting with the management of the departmental operations. The K-12 Admissions Office is the initial point of contact, perception, and hospitality, therefore this person serves as the ambassador to prospective families and must possess a warm and courteous demeanor, positive attitude, and professionalism. Organization and clerical competence including excellent written and oral communication and strong interpersonal skills is a must for this position. This position works closely with the entire admissions team and interfaces with a wide range of internal and external constituents.

    ESSENTIAL FUNCTIONS

    • Support the admissions team’s comprehensive strategy to recruit and enroll families who support the school’s mission
    • Manage inquiries and correspond with prospective families via phone calls, e-mail, in-person and virtual visits to provide information about the admissions process and general details
    • Track, respond to, and follow-up promptly on incoming inquiries and general admission-oriented communications
    • Maintain and update database system
    • Assist in the planning, organization, and implementation of Admissions Office events both virtually, and live, including on and off campus. This will include some evenings and weekends, especially during the peak season between September through May.
    • Handle general admissions communication, mailings, distribution of admissions marketing materials, packets, and other projects. Assist with new family orientation, including but not limited to summer connections, welcome events, and school logo gift distribution Schedule, in partnership with the admission team, prospective parent coffees, tours for a variety of constituencies, interviews, student visit days, student ambassador-hosted meetings, and administration of student assessments
    • Compile and analyze statistical information and admission data and create reports for, and in collaboration, with the director
    • Assist with the maintenance of the Admission section of the Buckley website
    • Other special duties and miscellaneous projects as assigned by the Director of Enrollment Management or Head of School

    Procedural Responsibilities

    ● Upholds all expectations, policies, and practices outlined in the school’s employee handbook, other foundational documents, and directives from senior administrators

    ● Maintains accurate and timely electronic records for each student

    Students/Staff/Community Relations

    ● Creates warm and uplifting professional relationships with students, families, and all constituencies of the school

    ● Communicates with students, families, and administrators in a timely and effective manner concerning student progress

    ● Serves as an ambassador for the school at all times, on and off campus, for example, but not limited to upholding the expectations in the employee and family handbooks; speaking positively about the school and its community members; participating in the school’s efforts to recruit and retain new and continuing families, faculty and staff; etc.

    RESPONSIBILITIES AND DUTIES

    • Attend to the complex admissions calendar and campus calendar to determine action and reduce scheduling conflicts
    • Prepare and organize the office for visitors to step into a warm, tidy, and welcoming space, including replenishing refreshments and promotional materials
    • Greet visitors as they enter the Admission Office, and assist them in connecting with admissions team personnel, student ambassadors, and other meetings
    • Answer phone calls and provide general office clerical support with inquiries, e-mails, and other forms of correspondence when necessary
    • Check and update the online system status of application files that will be processed to the Admission Committee during the application review process
    • Process application requirements when they arrive in the office and store them with the appropriate application to accomplish completion to review in Committee
    • Exercise good judgment and initiative, and be able to work independently in supporting the Director and other leadership in the Admissions Office
    • Organize and schedule meetings with high attention to detail on conference room bookings, vendors, necessary AV equipment, communication to participants, meeting materials, and agendas
    • Attend and support events such as Admissions Open House(s), new family welcomes, and the like, which may include selected weekends or evenings throughout the year

    EDUCATION AND/OR EXPERIENCE

    • Bachelor’s degree
    • Experience in a supporting role related to school or admissions
    • Fluency in spoken and written Spanish is preferred

    ● Knowledge and confidence to navigate through Microsoft Office, Google Suite, Blackbaud/Education Edge, admissions software or equivalent, and the ability to learn new and evolving technology

    COMPENSATION

    $25.00 - $30.00 per hour

    The base amount is separate from fringe benefits, such as retirement contributions, daily lunch, on-site parking, contributions to medical, dental, vision, life/AD&D plans, our generous time off policy, or potential stipends (for eligible employees). Our pay ranges are reasonable estimates of what the School anticipates

    paying for a role but are not guaranteed. If hired at The Buckley School, your actual base amount will be determined by your education and experience.
