JOB SUMMARY
The Guidance and Counseling Coordinator supports counseling educators in their work with students. This includes the scheduling, coordination, publicizing, and preparation of materials for counseling and SEL Program events. This role also serves as the primary point of contact for visitors to the Guidance and College Counseling Center. This non-exempt role works the academic year from late July to early June with some part-time summer hours required. Compensation is offered between $27.00 and $35.00/hr based on experience. ESSENTIAL RESPONSIBILITIES & ACCOUNTABILITIES
- Serve as initial point of contact for students, parents, educators and outside representatives visiting or calling the Guidance and College Counseling Center, including students in distress
- Assist counseling educators in scheduling, coordination (including facilities and A/V requests), and preparation of materials for grade level presentations and parent advising events
- Manage the Guidance and College Counseling Center, including keeping facilities neat and organized, ordering office supplies, overseeing maintenance of office equipment, and booking reservations for the Wellness room
- Organize and facilitate the Counselor/Teacher recommendations and spring student evaluations process
- Assist students and counseling educators with preparing for academic scheduling and schedule change requests
- Provide basic technology and student information systems software support for Counselors
- Provide transcript support including collecting and storing of official transcript release forms and printing of unofficial transcripts
- Prepare and process counseling department mailings to parents throughout the year regarding Counseling department events
- Run regular and ad hoc reports on caseloads, student grades, absenteeism, scheduling information, and student/class lists for distribution to counselors
- Manage and assign student office assistants for the school community
- Update MAIA platform with incoming and withdrawn students as needed
- Update MAIA platform with SAT and ACT exam scores
- Supervise and delegate tasks to Guidance and College Counseling student office assistants and CSF Teaching Assistants
- Prepare text for daily announcements and weekly/monthly parent newsletter for all Counseling sponsored activities and maintain Counseling Center website, events calendar, bulletin boards, and digital display
- Assist Director in Counselor assignments for incoming freshmen, rising sophomores, and transfer students
- Update student information system and upload student data to college information system
- Prepare and distribute to families information about grade remediation and file all documentation in individual student files
- Support the SEL Program Manager and Mentorship Coordinator in the preparation and distribution of materials as part of the SEL Program
- Assist in the preparation, distribution, and analysis of survey data
- Maintain and verify lists of local private tutoring, educational therapists, and mental health care professional resources for students and parents
- Coordinate, attend, and take minutes for monthly department meetings, including collection and distribution of meeting materials
- Process all mail sent to counseling educators and the Counseling Center
- Support the Testing Coordinator in managing the AP, PreACT and PSAT Testing Programs while adhering to College Board protocol
- Assist registrar in processing course changes during the summer
- Answer and respond to phone calls in Counseling during the summer
- Respond to emails sent to the General Counseling address during the summer
- Create and prepare student files for incoming freshman during the summer
- Transfer Freshman files to Sophomore Guidance and College Counselors during the summer
- Update materials for student usage in the Wellness Center during the summer
- Upload purchase receipts to Intacct
- Coordinate the Electives Fair with educators during Scheduling week
- Coordinate and support the Case Studies event in partnership with other Diocesan High Schools
- Manage the e-subscriptions for the College Counseling Newsletter
EXPERIENCE
- 3-5 years working in an office support role, with strong preference for experience in a high school, college, or other educational institution working with students
