    REPORTS TO: DIRECTOR OF ENROLLMENT AND ADMISSIONS

    STATUS: FULL-TIME (40 hrs/wk), EXEMPT

    Black Pine Circle School is a K–8 independent school in Berkeley, California. For over 50 years, we have inspired lifelong learners through an inquiry-based Socratic education that places equal emphasis on academics and the arts. Our Lower School (grades K–5) supports approximately 120 students, and our Upper School (grades 6–8) supports approximately 190 students.

    POSITION SUMMARY 

    The Advancement Associate plays a key role in supporting Black Pine Circle’s advancement goals, working under the supervision of the Director of Enrollment and Admissions. While the primary focus of this position is to assist the admissions department, the Advancement Associate will also provide valuable support to the development and communications teams. This role requires strong collaboration skills, effective interpersonal communication, and exceptional organizational abilities.

    RESPONSIBILITIES

    • Uphold the mission and values of Black Pine Circle by aiding in the recruitment of students who align with the school’s educational philosophy

    • Manage inquiries through Ravenna, Veracross, email, and phone, ensuring timely and accurate responses

    • Oversee the admissions calendar, coordinating events and tracking applicant status in Ravenna and Veracross

    • Track attendance and registration for all admissions events, ensuring smooth operations

    • Assist in planning and executing weekend and evening information sessions, open houses, school tours, student assessments, visit days, parent/student panels, and new family welcome events

    • Provide prospective students and families with detailed information about school programs and extracurricular activities, including leading tours when needed

    • Collaborate with the Director of Enrollment and Admissions to analyze data and generate reports that reflect the admissions season’s outcomes

    • Support Director of Development with donor prospect research, help process donor gifts, and engage in alumni outreach efforts

    • Manage and maintain the school’s social media presence

    • Participate in school traffic duty as needed

    • Perform additional duties as assigned

    SCHOOL-WIDE DUTIES

    • Participate on school committees as needed and appropriate

    • Attend all 4-STAR events (school-wide mandatory events)

    7. Available two to four weekends per school year for admissions events

    COMPENSATION

    The anticipated base compensation the school reasonably expects to pay candidates for the position of Admissions Associate is $35.50 to $38.00 per hour, depending on factors such as experience and education as well as internal pay equity with current employees.

    WORK ENVIRONMENT

    Required to lift and carry up to a maximum of 25 lbs., in a correct manner consistent with the appropriate training provided by the School. Reaching with hands and arms, climb stairs, bend, stoop, twist, lift, reach, push, pull, grasp, balance, kneel occasionally. Use of telephone, computer, copier, and other office equipment. Required to sit (or stand) for prolonged periods of time while operating a computer for approximately 6-8 hours daily. Repetitive motion for typing and other keystroke needs.
