    About the Role

    New Roads School is seeking an experienced individual to manage the Raiser’s Edge database (RE) in support of the school’s fundraising and advancement initiatives. This role’s primary responsibility is to effectively maintain donor, prospect, contacts, volunteer, and staff information in RE and to process and acknowledge gifts. Reporting to the Advancement Director, the Advancement RE Database Manager plays a critical role in ensuring database integrity and assisting the advancement team in providing excellent service to the school’s constituents by producing reports, gift acknowledgements, and data queries to support donor communications in a timely and accurate manner.

    The ideal candidate will be proficient in RE database management, have the ability to connect data with donor relationships, and be collaborative and proactive, exercising sound judgment relating to confidential information and school matters. 

    Essential Duties and Responsibilities

    Database Management:

    • Manage the Raiser’s Edge database, ensuring its integrity by regularly maintaining and updating constituent records as well as by identifying and implementing regular data hygiene processes.

    • Assist the advancement team in fundraising by consulting with the Director of Advancement on specific needs for translating data into usable reports. 

    • Regularly produce data files for hard and soft copy mailings for appeals, solicitation strategy and segmentation, board reporting, and other needs by pulling targeted lists.

    • Regularly update records by attaching proposals or other materials to RE constituent records.

    • Assist with preparation for advancement events by producing properly segmented mailing and electronic invitation lists and maintaining RSVPs in RE and on google sheets as needed.

    • Streamline regularly provided reporting processes and respond to reporting requests promptly, generating clear and actionable insights for the development and business office teams.

    • Develop, implement, maintain and document procedures for the use of the database.

    • Work with Admissions Team and Registrar to obtain new and returning student data to prepare for import into Raiser’s Edge database

    Reporting:

    • Produce weekly Annual Fund Status Reports.

    • Create and pull reports as needed for Advancement updates at Board meetings.

    • Reconcile with Finance on a monthly basis.

    Gift Processing and Acknowledgment:

    • Receive and process gifts daily, including online transactions, mailed-in gifts, stock gifts, gifts in-kind, matching gifts, pledges, and other special donations as appropriate, ensuring accurate and timely coding and entry of contributions into the database.

    • Send pledge reminders by email on a quarterly basis.

    • Manages the online giving page.

    • Process and mail acknowledgment letters and gift receipts twice a week, working closely with the team to uphold prompt and thoughtful communication. Produce electronic files upon request.

    • Monitor for anticipated incoming donations, communicating updates to the advancement team as needed.

    Administrative and Operational Support:

    • Work with Registrar to regularly update student and parent constituent records 

    • Pull biographical and capacity data from Research Point and prepare donor profiles for new incoming families each Spring.

    • Work with the Advancement Team to compile bios for advancement event briefings

    • Participates in school-wide events and meetings.

    • Assists the advancement team with events by supporting in ways including registering and checking in guests and helping with event set-up.

    • Coordinate with development staff to support other administrative needs that contribute to overall team efficiency.

    Qualifications:

    • At least three to five years of professional work experience in data management.

    • Proficiency in the management of the Raiser’s Edge database is required.

    • Bachelor’s Degree preferred.

    • Proficiency in job related computer programs, including MS Word, Excel, and Google Suite.

    • Ability to perform complex mail merges.

    • Ability to communicate effectively both verbally and in writing.

    • Excellent interpersonal skills and the ability to enjoy getting to know the school’s diverse constituencies.

    • A cooperative team approach with colleagues and a willingness to take on responsibilities that support the wider school community.

    • Good sense of humor and willingness to be part of a collaborative team of advancement professionals.

    • Sound judgment relating to confidential projects, school or student matters, including effective communication regarding such matters to the appropriate individuals.

    • Ability to work some nights and some weekends.

    Salary range: $70,000 - $85,000
