    JOB TITLE: Secondary School Administrative Assistant
    DEPARTMENT: Middle and High School (Grades 6–12)
    REPORTS TO: Middle School Principal and High School Principal
    WORKS CLOSELY WITH: Director of College Counseling, College Counseling Assistant, Student Services
    LOCATION: Ortega Campus, 1201 Ortega St., San Francisco, CA
    TYPE: Full-Time, Non-Exempt

    OVERVIEW

    The Secondary School Administrative Assistant is a dual-role position that provides essential administrative support for both the Middle and High School divisions while serving as the custodian of academic records. This individual ensures the accuracy and security of student records, supports registrar policy compliance, and facilitates the smooth administrative functioning of secondary school operations.

    KEY RESPONSIBILITIES

    Registrar Duties

    • Maintain accurate, auditable student records including grades, transcripts, demographic information, immunizations, and diplomas in compliance with FERPA and Lycée policies.

    • Prepare and transmit student records for transfers and colleges.(Enrichment records to be sent by College Counseling Assistant.)

    • Monitor graduation requirements and diploma eligibility, informing families and students of their status.

    • Calculate GPA and produce transcripts for both French Baccalaureate and IB students.

    • Archive, print, and store report cards and exam records.

    • Collaborate with IT, admissions, advancement, and college counseling departments on record-related projects.

    Administrative Duties

    • Support daily campus operations, including scheduling, correspondence, document creation, and assisting with examinations.

    • Organize meetings, events, and travel exchanges for students and faculty.

    • Act as a liaison between faculty, students, and legal guardians; direct inquiries to appropriate departments.

    • Support tutoring, supervision schedules, and report on operational needs regularly.

    • Participate in campus-wide administrative duties as needed.

    COLLABORATION & COMMUNICATION

    • Report jointly to the Middle and High School Principals.

    • Work closely with the College Counseling team to ensure accurate transmission of academic records for university applications.

    • Collaborate with the student services department and Ortega campus leadership.

    • Maintain open and professional communication with students, staff, and families.

    QUALIFICATIONS

    • 2–5 years of experience in a school registrar or administrative support role preferred.

    • Bachelor’s degree preferred; high school diploma required.

    • Knowledge of the French and U.S. educational systems is an asset.

    • Knowledge of Student Information Systems (e.g., Veracross, Naviance, Pronote).

    • Strong organizational skills with attention to detail and confidentiality.

    • Fluent in English; French proficiency preferred.

    • Ability to handle multiple workstations and manage deadlines efficiently.

    COMPENSATION & BENEFITS

    • Competitive salary based on experience and qualifications.

    START DATE: August 1, 2025

    Candidates with 2 to 5 years related experience in the education field can anticipate a yearly salary, ranging from: $68,680 to $72,498. The salary offered to the successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience in the job, type and years of experience in the industry, education, etc. LFSF offers a negotiated salary range.
