Summary: The Facilities Manager is a full-time, exempt position responsible for the overall maintenance, safety, security, and cleanliness of both the San Francisco Waldorf Grade School and High School campuses. This role is crucial in ensuring our school environment is safe, welcoming, and supports our educational mission. The Manager will oversee daily operations, manage projects and vendors, and contribute to long-term strategic planning for our facilities.
Core Responsibilities:
1. Maintenance and Operations:
- Develop and implement a proactive, preventative maintenance schedule for all building systems, including HVAC, plumbing, electrical, and life safety systems.
- Conduct or arrange for timely repairs, including responding to urgent and emergency situations.
- Manage a comprehensive custodial program to ensure the premises are consistently clean, orderly, and meet a high standard of care.
- Oversee landscaping, groundskeeping, and waste/recycling management programs.
- Must demonstrate awareness of the school calendar and presence of students.
2. Safety, Security, and Compliance:
- Ensure the entire campus is safe and complies with all relevant building codes, health and safety standards (including OSHA), and fire regulations.
- Manage campus security systems, including alarms, access control (locks and keys), and monitoring services.
- Act as the primary 24/7 on-call first responder for all facility-related emergencies.
- Assist in the development and implementation of school-wide emergency plans and procedures.
3. Project and Vendor Management:
- Plan and execute facilities improvement projects, from small renovations to larger upgrades, in collaboration with campus Administrative Coordinators.
- Source, negotiate with, and manage external vendors and contractors, including obtaining bids and ensuring work is completed to a high standard.
- Liaise with campus administrators to provide logistical support for major school events, including setup and cleanup.
4. Administration and Budgeting:
- Develop and manage the annual facilities budget, tracking finances and ensuring cost-effective operations.
- Maintain organized records, including maintenance logs, vendor contracts, and compliance documentation.
- Utilize basic office software to manage records and complete required paperwork.
Qualifications and Experience:
- Proven experience in multi-use facilities management, with a strong understanding of best practices and current building codes.
- Practical, hands-on knowledge in a combination of the following trades is highly preferred: carpentry, plumbing, electrical, HVAC, and general maintenance.
- Experience managing vendors, contractors, and custodial services.
- Strong project management and organizational skills, with the ability to manage a budget and financial records.
- Excellent and clear communication skills, with the ability to collaborate effectively with faculty, staff, and external partners.
- Ability to perform manual labor, including lifting up to 30 lbs.
- Must have a personal vehicle for transport between campuses and a valid driver's license.
- Must pass DOJ background check and tuberculosis screening.
- Flexibility to work during regular school hours as well as some weekends, evenings, or holidays as projects require.
- Basic knowledge of Spanish is helpful but not required.
- A strong connection to sustainable, "green" practices is highly valued.
- Work intermittently in outside weather conditions, including heat and cold.
- Regularly sitting or standing 4-8 hours.
Benefits and Compensation:
This is a full-time position, exempt from overtime, with a salary range of $70,000 to $90,000 depending on experience. This position has full benefits including medical, dental, flexible spending plans, retirement plan (after one year), and tuition remission (after one year) for eligible dependents in our Preschool - 12th grade program. Salaries are paid on a 12-month schedule.
