JOB TITLE: Advancement Assistant

OVERVIEW
The Advancement Department is responsible for raising funds for the school through various campaigns and events including the Annual Fund, Major Gift Campaign, Annual Auction Gala, Wine Circle, Capital Campaign, and miscellaneous. It holds events for donors, alumni and volunteers and works closely with the Parents Association.
The Lycée Français de San Francisco is a French Immersion College Preparatory School in the San Francisco Bay Area. We provide a challenging educational environment based on the French national curriculum, enriched by English classes from PS-12th grade. Our curriculum is designed to provide students with a well-structured, well-assimilated body of general knowledge, while encouraging the development of analytical and critical thinking skills. Our students earn an American high school diploma, as well as prepare for the French Baccalauréat, which qualifies them for both American and European Universities.
KEY RESPONSIBILITIES
1. Gift Processing (30%):
-
Manage gift deposits to the Business office, including analysis and processing gift batches in the database system (Veracross).

Produce gift receipts and individualised acknowledgment letters, post control and batch reports in accordance with Advancement policy.

Track outstanding pledges and matching gift pledges.
-
Maintain data integrity, add new data to the database, and provide data analysis and reports.

Process in-kind donations, including auction gala items via the GreaterGiving platform.
2. Administrative (30%)
● Create marketing images using Canva, In-design, Photoshop, and/or Adobe illustrator.
● Post social media and web content according to the department’s social media
strategy.
● Update website and parent portal , manage and maintain crowdfunding platforms.
● Prepare and manage e-mailing lists.

Place Purchase orders and keep track of expenses in excel sheets.

Reconcile monthly advancement revenues & expenses with ledgers from the Business office.

Must be able to manage multiple projects simultaneously while respecting deadlines and shifting priorities if needed.
3. Advancement Support (40%)

Assist in the organization of and participate in cyclical Advancement fundraising events and projects.

Support volunteer coordination.
-
Assist the department in reaching fundraising goals.
-
Maintain department inventories and supplies.

Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.

Coordinate and work with other departments on department and campus-wide activities and projects.

Must demonstrate the ability to maintain the highest standards of integrity and confidentiality.
QUALIFICATIONS
-
2–4 years of experience in an administrative support role preferred.
-
Bachelor’s degree preferred; high school diploma required.

Working knowledge of databases, Veracross, & GreaterGiving preferred.

Able to easily learn and master new programs, software, web applications, etc.

Accounting skills, MS Office and MS Excel competency.

Google suite expertise required.

Prior fundraising experience in a non-profit setting.

French language fluency is a significant asset but not required.

Outstanding organizational skills.

Able to work in a highly interactive team environment.

Ability to function proactively in a multicultural setting.

Able to lift and move heavy boxes and advancement-event physical components.

Candidates with 2 to 4 years related experience in the education field can anticipate a yearly salary, ranging from: $70,397 to $73,101. The salary offered to the successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience in the job, type and years of experience in the industry, education, etc. The Lycée offers a negotiated salary range.
