    Reports To: Chief Advancement Officer

    FLSA Classification: Non-exempt

    FTE (Full-Time Equivalent): 100%

    Schedule of Duties: 12-Month

    Salary Range: $60,000 - $80,000 annual/salary based on an hourly rate of pay

    Position Purpose: The Advancement Coordinator is the department hub for all Advancement Office services. This role implements administrative systems, procedures, oversee administrative projects, and manages ad hoc projects as assigned by the Chief Advancement Officer.

    Specific Expectations for Advancement Staff: In addition to duties and essential job functions listed in job descriptions, the following responsibilities are expected of all employees in the Advancement Department:

    Professional development as required and approved by your supervisor, work beyond your regular hours when required and approved by your supervisor, and attendance of, or participation in, mandatory meetings and/or events as directed by your supervisor including but not limited to the bi-annual Director's Days and Annual Auction. All employees will be paid appropriately and according to current law. In the case you are required to work outside of your normal work schedule, non-exempt employees will receive overtime pay, as eligible.

    Essential Duties:

    • Maintain and update all office prospect and donor records (digitally and hard copy as appropriate)
    • Assist Advancement Services to ensure that gifts are receipted and acknowledged accordingly
    • Work with Advancement Services to resolve issues and communicate with donors where necessary
    • In conjunction with other staff, plan receptions and production of donor plaques, signage, and other donor recognition vehicles
    • Maintain office communications including phones, messages, mail, and deliveries
    • Partner with the Chief Advancement Officer and Leadership Giving & Stewardship Manager on donor relations items including: proposal writing, stewardship reporting, acknowledgement correspondence, fundraising reports, donor signage production and management, recognition event planning and implementation.
    • Partner with the Chief Advancement Officer and Leadership Giving & Stewardship Manager and the on-campus art documentation, management, and maintenance as appropriate
    • Work with the Events Team to support the planning, implementation, and logistics of events and receptions
    • In coordination with the Alumni Relations & Past Parent Engagement Manager, coordinate communications and stewardship of alumni and past parent donors to increase engagement with the School
    • Identify opportunities for speaking engagements for SHS Administrators in the community to highlight the opportunities for supporting SHS
    • Assist with the management of all volunteer records and assignments
    • Prepare donor materials for solicitation, marketing, stewardship as needed including print, digital (video), and social media
    • Attend committee meetings as needed
    • Design and create the Annual Report
    • Customize invitations and items for donor events and stewardship
    • Help with all Advancement web page updates and content
    • Work cooperatively with committees, volunteers, and other professional and support staff as required
    • Other duties as assigned by the Chief Advancement Officer

    Required Qualifications:

    • Minimum 3-5 years of professional experience in a similar position
    • Excellent verbal, and print communications, personal initiative and organizational skills to support Advancement staff in a variety of office venues
    • Demonstrated strong proof-reading skills
    • Excellent computer skills (Microsoft Suite, Google Suite, Blackbaud, etc.)
    • Ability to develop and maintain relationships with all levels of staff and faculty, and the public
    • Ability to work effectively as a team member, interacting with others in a productive manner, ability to work with K-12 students and with adult colleagues and willingness to be an active, enthusiastic member of the SHS community
    • Knowledge of school structure and protocol
    • Ability to maintain absolute confidentiality regarding donor gifts, campaign matters, and projects
    • Flexibility and high tolerance for change and ambiguity with an outgoing personality and a positive attitude
    • Fluency in reading, writing, and speaking English; additional skills in Spanish are valued and preferred
    • Excellent attendance and punctuality
    • A clear commitment to the educational philosophy of the school as articulated in the Goals and Criteria of Sacred Heart Schools and professional behavior based on it

    Physical Demands and Work Environment:

    • Works in a highly stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts
    • Work primarily in a traditional climate controlled office environment
    • Work intermittently in outside weather conditions, including extreme heat and cold
    • May work at a desk or computer for extended periods of time
    • Able to travel safely and comfortably across our 63-acre campus for a variety of events and meetings, often several in a day
    • Available to work evenings and weekends as needed
    • Must comply with all state vaccination requirements and show proof of vaccination including but not limited to COVID-19 or proof of eligibility for exemption
    • Physically able to assist, when necessary, with event setup and breakdown, including occasionally lifting 30-lbs
