    The Associate Director, Database Services plays a vital role in advancing Bishop O'Dowd High School's mission by creating and maintaining data systems that empower our philanthropic initiatives and strengthen donor relationships. Under the guidance of the Senior Director of Development, the Associate Director, Database Services is responsible for optimizing all database operations, ensuring data health and integrity, and providing critical analysis that drives fundraising success of our Annual Giving, Capital Campaigns and Alumni Engagement Operations. This individual will also work closely with the Senior Director of Development to identify opportunities to optimize data-related processes and to propose and implement solutions.

    This dynamic professional collaborates with the development team using Raiser’s Edge to enhance donor engagement through accurate record keeping, timely gift processing through all payment-processing systems, and sophisticated reporting capabilities. Through meticulous attention to detail this position helps strengthen donor relationships and supports the school's fundraising goals through management of proper gift tracking, donor recognition, and data-driven campaign analysis.

    This person manages the Database Assistant - who oversees gift processing and acknowledgments. 

    Key Responsibilities:

    Database Management:

    • Serve as primary administrator of Raiser's Edge and other payment processing systems

    • Drive the team commitment to data integrity and standardization, including the creating and maintaining data entry protocols  

    • Perform regular database audits and cleanup

    • Assess and implement new CRM tools and technologies to keep database practices current and efficient.

    Gift Processing:

    • Serve as Manager of Database Assistant, who is responsible for the following

      • Processing and acknowledge of all gifts, pledge reminders and documentation

      • Proper gift coding and designation

      • Matching gifts program

      • Acknowledgement of in memory / in honor and condolence card outreach 

    • Manage the pledge gift reconciliation process, including reminders and invoicing as needed

    • Partner with the Business Office to reconcile all philanthropic giving with the school’s general ledger.

    Reporting & Analysis:

    • Generate regular and ad-hoc reports for development team

    • Prepare targeted lists for mailings, solicitations, communications, events and donor recognition

    • Oversee Event Registration including, but not limited to name tags and registration

    Training & Support:

    • Serve as the resident expert and primary point of contact for database-related troubleshooting, including training of new and current staff

    • Stay current with Raiser's Edge and payment processing systems for updates and features

    Knowledge, Skills, and Abilities:

    • Bachelor’s degree or equivalent work experience

    • 3+ years experience in data management and reporting in a mission-driven organization with a focus on philanthropic data management

    • Expertise in CRM systems, Raiser’s Edge preferred

    • Strong attention to detail and accuracy, excellent organizational and analytical skills

    • An intermediate level (or higher) general office technology skill set, including Microsoft Office suite and Excel is required

    • Understanding of fundraising principles, and the importance of maintaining confidentiality

    • Initiative and self-direction, collaborative work style

    • Ability to work some evenings and weekends for development and school events is required
