    Position Title: Associate Director of Admissions

    Reports to: Director of Enrollment Management

    FLSA Status: Non-Exempt

    Position Summary

    The Associate Director of Admissions at Alta Vista School plays a crucial role in managing the admissions process to ensure it is seamless, communicative, and forward-looking. This role is responsible for improving workflows, enhancing communication with prospective families, and anticipating future enrollment needs. With a deep understanding of Alta Vista’s mission and the independent school landscape, the Associate Director is key in recruiting a diverse and talented student body. In collaboration with the Director of Enrollment Management, the Associate Director helps develop and execute both short-term and long-term strategies to meet the school's enrollment goals.

With a deep understanding of Alta Vista’s mission and the independent school landscape, the Associate Director is key in recruiting a diverse and talented student body. In collaboration with the Director of Enrollment Management, the Associate Director helps develop and execute both short-term and long-term strategies to meet the school's enrollment goals.

    Essential Functions & Responsibilities

    • Co-lead admissions practices to attract K-8 families to Alta Vista School, evaluate student eligibility, and encourage family enrollment.

    • Ensure all communications accurately represent the school’s mission and values.

    • Manage logistics for all admissions events, including organizing event structure, registration, set-up, check-in, and post-event communication.

    • Oversee Applicant Screenings and Shadow Days, ensuring smooth processes for evaluating students and families.

    • Organize committee schedules, capture data, and identify strong candidates for admission.

    • Collaborate with the Advancement and Communications team to create and update print materials, website content, social media posts, and digital advertising related to admissions.

    • Efficiently manage inquiries, applications, and communications with prospective and current families, reflecting Alta Vista’s warmth and values with high attention to detail.

    • Manage communication touchpoints with prospective families, ensuring consistent, timely, and personalized messaging from inquiry through enrollment.

    • Work with the admissions committee and learning specialists to gather necessary information for applicants with social, emotional, or learning needs.

    • Collaborate with the Director of Enrollment to design and manage admissions processes.

    • Support or supervise short-term projects critical to the success of the Admissions Office.

    • Maintain confidentiality and professionalism in all aspects of work.

    Shared Responsibilities

    • Design and implement a comprehensive recruitment and outreach strategy to expand and diversify the applicant pool.

    • Develop and execute communications plans that support recruitment goals, including email campaigns, newsletters, and event invitations.

    • Foster a welcoming, joyful office culture reflective of the larger school environment.

    • Work towards advancing diversity, equity, and belonging (DEB) within the admissions process.

    • Represent the school enthusiastically at various admissions events, including school fairs and tours.

    • Build and maintain strong relationships with internal and external stakeholders.

    • Conduct interviews with prospective families and co-lead admissions committee deliberations.

    • Assist in evaluating admissions files and rendering decisions.

    • Serve as a member of the  Tuition Assistance Committee.

    • Co-lead the management of the Student Ambassador and Parent Volunteer programs.

    Qualifications

    Required Education/Experience

    • Bachelor's Degree

    • Experience in customer service, communications, executive assistance, teaching, or administration at the elementary, middle, or high school level

    • Proficiency in Google Suite and experience with CRM databases (Ravenna and Veracross preferred)

    Preferred Education/Experience

    • Master’s degree or current enrollment in a relevant program

    • 3-5 years of experience working in admissions or a support role.

    Physical Demands/Work Environment

    • Regularly lift or carry 1-20 lbs.

    • Frequent movement between two school campuses, approximately 3 miles apart.

    • The noise level is moderate to loud during school hours.

    • Varied work hours, including some early mornings, evenings, and weekends for events.

    • Co-work positively and respectfully in a shared office environment.

    Salary Range: $85,000-95,000
